With BENS PP Spool you control and manage the entire process of document production. The user-friendly client allows you to inspect and fully control the productive happenings in your company.

BENS PP Spool is suitable for data centers as well as for in-house printing houses or other facilities with large print volumes.

Overview of incoming print jobs.

The operator sees all incoming print jobs. The print jobs can be identified by their characteristics such as job ID, job owner, job title. Various sorting and filtering criteria for the listing of print jobs increase the work efficiency of the operators.

Free printer selection

The operator can himself determine on which printer the selected print job is to be output.

Preview the received print jobs

While the print jobs are being spooled on the server, a preview (PDF) is automatically created. The preview gives the operator better possibilities to identify or check individual print jobs.

Scheduling for execution of print jobs

Print jobs can be collected and issued with a time delay. The operator can specify a separate start point for each print job. For example, the output of larger print jobs can be postponed to the night, thus increasing the efficient utilization of the printers.


With BENS PP Spool, job tickets containing processing instructions for the printer can be created and assigned to the print jobs. Job tickets are reusable, so that e.g. once defined job processing can be assigned to different print jobs. Example: a defined booklet printing on A4, folded on A5 with saddle stitching can later be applied to other print jobs. The operator can choose from the JobTicket Repository the appropriate or requested final processing. Print jobs can be grouped and provided with the same JobTicket. This saves time in print job configuration and increases work efficiency.

Archiving of print jobs

All print jobs are archived after their output. The amount and duration of archiving print data is freely configurable. The archive provides similar functions as the module with incoming jobs, such as print preview, sorting and display of jobs according to different criteria.


The operator has the option to reprint print jobs from the archive. It is possible to choose another target printer than originally. This function is particularly useful when e.g. the printer has a defect while printing which cannot be repaired in the short term, but the entire print file has already been transferred to the printer and has therefore been lost in most cases for the printing process. A great feature is partial reprinting. Here the pages to be reprinted are specified for a page-precise touchdown. This procedure saves valuable time and paper.

Printer Monitor

With the printer monitor, the operator keeps an eye on the printers, even if he is in a different room than the printers. The Printer Monitor displays all the printer's display messages and the current page counter on the operator's screen. The page counter can be reset so that the operator has control over the pages already printed since the counter was last reset. This helps him e.g. to estimate when paper shall be added to the printer.

Estimated remaining time for printout

A timeline shows the operator the estimated remaining time for each print job. With this information, the operator can optimally plan his time and work effectively.

Various print formats

BENS PP Spool is not specified for a specific print format, but can process various print formats, such as PCL5, PCL6, Postscript and PDF. This gives your company great flexibility in the preparation of print data. Service providers can accept various processed print data from their customers and process it further with BENS PP Spool.

Various input channels

The BENS PP Spool server accepts print jobs via various print protocols such as Socket, SMB, IPP(S), LPR (optionally also IPDS). The processing of documents from a so-called hotfolder is also supported. The hotfolders are particularly suitable for mass processing of PDF documents. The user thereby saves the time he loses when opening and printing the PDF files, because he can put all the PDF files to be printed in the hotfolder, from where they are automatically fetched from the BENS PP Spool server and stored in the printer queue. A job ticket can be used to define the processing of PDF files from the hotfolder (for example, booklet printing).

Process automation (workflows)

In addition to the definition of JobTickets that define the processing in the printer, simple to complex workflows that define a complete processing of inbound documents can be implemented. A simple workflow would be e.g. the addition of letterheads, terms and conditions and barcodes. In a complex workflow, e.g. additionally, print data is archived, media types are defined for different document areas and logs are stored in a share directory.


The BENS PP Spool Server provides a function that automatically distributes the print load among several printers. With this function, both individual print jobs and even copies of individual documents can be efficiently distributed to different printers.


For each printer defined on the BENS PP Spool server, replacement printers can be defined according to priority, to which the print jobs are automatically forwarded, should the original target printer fail. Each printer defined on the BENS PP Spool server can be defined as a replacement printer. A whole chain of replacement printers can be defined - all printers defined on the server are available for this purpose. This method guarantees a safe printing even if e.g. jobs are printed without supervision at night and the entire production should be available the next morning.

Mass printing

The BENS PP Spool is particularly suitable for mass printing on fast printers. It can handle both large-page print jobs and many small print jobs with fewer page numbers. If many small print jobs have a negative impact on the printing speed of the printer, then such print jobs can be merged by workflow into one large print job.

Different output channels

The BENS PP Spool print server supports different output channels, such as Socket, SMB, IPP and LPR. In addition, the print jobs can also be filed to a share or sent by e-mail.
